Blue Star, a prominent player in the air conditioning and commercial refrigeration industry, boasts an extensive network comprising 32 offices, five state-of-the-art manufacturing facilities, and an impressive lineup of 2900 channel partners. Within Asia, Blue Star proudly holds the distinction of being the second-largest homegrown player in the air conditioning sector.
Nevertheless, the company was not immune to its own set of challenges. Blue Star's diversified portfolio encompassed seven distinct businesses, each featuring its unique procurement and procure-to-pay (P2P) processes. This diversity posed a significant challenge as it made tracking invoices and processing them efficiently a complex endeavor. Compounding this issue, the entire invoice processing cycle was conducted manually, resulting in rework and a plethora of errors.
Moreover, Blue Star grappled with scalability issues, coupled with a lack of measurable productivity metrics, ultimately contributing to soaring fulfillment costs. The imperative was clear: Blue Star sought to enhance the efficiency of its accounts payables operations by introducing automation through Robotic Process Automation (RPA) and workflow automation.
In pursuit of this transformative journey, Blue Star wisely chose DIEM Collective as its partner in the realm of digital finance and accounting. Collaborating closely, DIEM Collective's experts embarked on the task of streamlining Blue Star's existing processes.
Firstly, a thorough examination and analysis of Blue Star's accounts payables processes and infrastructure was conducted. Subsequently, a vendor portal was implemented to consolidate accounts payable processes, uniting suppliers under a single, efficient umbrella. This initiative aimed to enhance interactions between Blue Star and its valued suppliers.
To further streamline operations, DIEM Collective introduced TruBot, an RPA tool, to automate the validation and indexing of invoices. A web-based workflow system called Finato was employed to facilitate the automatic movement of invoices. Additionally, the implementation of the Business Intelligence tool, TruBI, enhanced data visualization capabilities.
In summary, Blue Star's partnership with DIEM Collective exemplifies the power of digital transformation in surmounting complex operational challenges. Through innovative solutions and automation, Blue Star achieved a significant enhancement in its accounts payables operations, paving the way for increased efficiency and cost savings.
